This Volunteer Management Policy outlines Healthier Heroes CIC’s approach to recruiting, supporting, and managing volunteers. It ensures all volunteers are treated fairly, supported in their roles, and aligned with the organisation’s values of respect, integrity, and service.
1. Purpose
The purpose of this policy is to provide a clear framework for the involvement of volunteers within Healthier Heroes CIC. It recognises the essential role that volunteers play in helping us support veterans and vulnerable adults across our services.
2. Scope
This policy applies to all individuals who volunteer with Healthier Heroes CIC, regardless of their role or duration of involvement.
3. Definition of a Volunteer
A volunteer is someone who gives their time freely to support the work of Healthier Heroes CIC without financial compensation. Volunteering is a freely made choice and is not a legally binding contract of employment.
4. Recruitment and Selection
Volunteers are recruited through a fair and transparent process, including an application form, informal interview, and reference checks. Enhanced DBS checks are required for all volunteers working directly with vulnerable adults or children.
5. Induction and Training
All volunteers will receive a full induction to ensure they understand the organisation, their role, and key policies such as safeguarding and confidentiality. Ongoing training and development opportunities will be provided as appropriate.
6. Support and Supervision
Volunteers will be assigned a named supervisor and will receive regular support through one-to-one check-ins. Feedback will be encouraged and concerns will be addressed promptly and sensitively.
7. Conduct and Standards
Volunteers are expected to uphold the values of Healthier Heroes CIC, maintain professional boundaries, and adhere to all organisational policies. Any breaches may result in the volunteer being asked to step down.
8. Confidentiality
Volunteers must maintain confidentiality at all times regarding clients, colleagues, and internal matters. A confidentiality agreement will be signed as part of the induction process.
9. Expenses
Reasonable out-of-pocket expenses will be reimbursed with prior approval and upon submission of valid receipts, in accordance with our volunteer expenses policy.
10. Recognition
Healthier Heroes CIC values the contributions of all volunteers and recognises their efforts through thank-you events, certificates, and personal feedback.
11. Exit and Feedback
Volunteers are free to end their volunteering at any time. An exit conversation may be offered to gather feedback and thank them for their contributions.
